How to use the Stock App
Logging In
Download the Stock app from the App Store, then log in with your normal outlet details:
Review your settings - select the cog at the top right to open the options menu:
Then select Settings > Select Default Counting Unit. Here you can choose if you want to count in Supplier Units or Store Units as a default value (you can also always toggle this for individual items as you go).
Performing a Stocktake
There are now two main ways you can do a stock take (please note this is accurate for app version 2.4 and above - you may need to update your stock app from the App Store):
- Flexible Stocktake - This will initiate a stock count of all your products/ingredients.
- Template - This needs to be set up in the back office (Stock > Templates >Stocktake Templates). Please note that when you create a template you’ll only be able to use these, and you won’t be able to use the flexible stocktake option when the template(s) are active in the back office.
- Perform a stocktake from the back office (instead of the Stock app on the iPad).
Flexible Stock Take Steps
Select the Stock Takes section:
Then select “Start Stock Count” (please note you can also change the stock take name here as well):
You can use the fields at the top of the screen to filter between categories, suppliers, and between Products and Ingredients. In the example below I have filtered using the supplier “Tea Emporium”:
There will then be a list of the items down the left hand side, and a corresponding box for current count for each.
If you tap on the box, it will expand to allow you to tap the amount for the item. You can also see the toggle here between the counting units. You can look at the item description to see what the Store Unit (ST) and the Supplier Unit (SP) is. It’s important to count it in the correct value:
Enter the amount you’ve counted, and then just tap OK, and you will see the counted item appear in the column to the right. If you’ve made a mistake you can easily tap the bin icon to delete and re-count:
You can pause at any time, and resume whenever is convenient to you. Once paused, it will also give you the option to cancel the stock take.
Once you’ve finished the stocktake you need to select “Complete”.
A box will pop up and this is your final chance to review your stocktake. Any uncounted items will be flagged, to prompt you to go back and count them - but you can ignore these if you want. If you want to count something as “0”, then you’ll need to untick the box that ignores uncounted items here:
Template Stock Take Steps
You will need to set this up first in the back office (Stock > Templates > Stocktake Template):
Select “+Add new template”.
Here you’ll need to name your template:
Then using the three filters of Type, Supplier and Category you can narrow down the products or ingredients you want to be able to count:
When you’ve selected everything, simply press Submit.
Now on the iPad, refresh the app by tapping the logo at the top left.
Select the Stock Takes section:
Then select “Start Stock Count”:
This will take you straight to the template if you only have one active in the back office, or it will ask you to choose if you have multiple templates active:
